Welcome to Agent37 — the CRM built around how real estate agents actually work. This guide walks you through setting up the app and getting the most out of every feature.

1. First Steps

Before adding clients, spend a few minutes on the initial setup. Getting this right first means everything works smoothly from the moment you add your first buyer or seller.

Recommended setup order

  1. Set up vendor groups
  2. Set up todo templates
  3. Add your first seller
  4. Add your first buyer
  5. Add remaining clients

Tip: Vendor groups auto-populate in the calendar when adding events. Todo templates are ready to apply from the ellipsis menu on any todo screen. Setting both up first saves time on every client you add from here on.

2. Vendor Groups

Vendor groups are categories used to organize the types of vendors you work with — for example Painters, Stagers, Inspectors, Plumbers, and Cleaners. Once set up they appear automatically in the dropdown when you add a calendar event, and they populate the timeline view.

How to create a vendor group

  1. Open the side menu
  2. Tap Vendors
  3. Tap the top ellipsis menu, add new group
  4. Enter the group name — e.g. Painters, choose a color for the group. The color identifies the group on the timeline.
  5. Tap Save

Tip: Add as many or as few groups as you need. You can always add more later as your vendor relationships grow.

3. Todo Templates

Todo templates are reusable checklists that can be applied to any buyer or seller. Create a template once and apply it in seconds whenever you need it — from the ellipsis menu on the todo screen of any client.

How to create a todo template

  1. Open the side menu
  2. Tap Todo Templates
  3. Tap the + button
  4. Name the template — e.g. New Seller Checklist
  5. Add each todo item to the template
  6. Tap Save

How to apply a template

  1. Tap a buyer or seller from your list
  2. Tap the Todo tab
  3. Tap the ... ellipsis menu
  4. Select Apply Template
  5. Choose the template to apply

Suggested templates to create

Tip: Templates add to existing todos rather than replacing them. You can apply multiple templates to the same client.

4. Adding a Seller

Each seller in Agent37 represents an active listing. All activity related to that property — vendor events, notes, todos, photos, and closing details — lives inside the seller record.

How to add a seller

  1. Tap the Sellers tab
  2. Tap the + button
  3. Enter the listing address — this becomes the primary identifier for the listing
  4. Enter the seller's name and contact details
  5. Add listing details — property type, bedrooms, bathrooms, list price
  6. Tap Save

What you can track per seller

Tip: The before and after photo albums are created automatically when you add a new seller. Head to the Photos tab to add more albums or to upload images.

5. Adding a Buyer

Each buyer record stores everything you need to know about what your buyer is looking for — their search criteria, contact details, notes, todos, and closing information once they go under contract.

How to add a buyer

  1. Tap the Buyers tab
  2. Tap the + button
  3. Enter the buyer's name and contact details
  4. Add their birthday if known and toggle Remind me on for a birthday notification
  5. Tap Save

  1. Open the buyer
  2. Tap the Search Criteria tab
  3. Set property type, bedrooms, bathrooms, and price range
  4. Add target locations — type a city and state e.g. Fairfax, CA
  5. Select the relevant zip codes from the list that appears
  6. Tap Save

Tip: Setting accurate search criteria is important if you plan to use the Network Matching feature, which matches buyer criteria against other agents' active listings.

6. Calendar and Events

The calendar tracks all vendor activity across your active listings. Add events to a seller listing and they appear in the calendar automatically, organized by listing and date.

How to add a calendar event

  1. Tap the Calendar tab
  2. Tap the + button
  3. Select the listing the event relates to
  4. Select the vendor group from the dropdown — e.g. Painters
  5. Enter the vendor name
  6. Set the start and end date
  7. Add any notes
  8. Tap Save

Timeline view

The Timeline tab in the Calendar shows all active listings and their vendor events plotted across the current week. Each listing has its own row with coloured event bars showing what is scheduled and when.

Schedule view

The Schedule tab shows all upcoming events in a chronological list across all listings.

Tip: Vendor groups must be set up before adding events. If the group you need isn't in the dropdown, go to Vendors in the side menu and add it first.

7. Notes

Notes can be added to any buyer or seller. Use them for call summaries, property observations, buyer feedback, or anything else worth recording against that client.

How to add a note

  1. Tap a buyer or seller from your list
  2. Tap the Notes tab
  3. Tap the + button
  4. Type your note
  5. Tap Save
  6. Alternatively tap the ellipsis menu (the 3 dots) to the right of your client.

Notes are displayed in reverse chronological order — most recent first. Each note shows the date and time it was created. If you are working in a team, notes added by team members update in real time.

Tip: Pull down to refresh the notes list to see the latest updates from team members.

8. Todos

Todos are tasks associated with a specific buyer or seller. Add them individually or apply a template to populate a full checklist in one tap.

How to add a todo

  1. Open a buyer or seller list
  2. Tap the Todo tab
  3. Tap the + button
  4. Enter the task description
  5. Set a due date if needed
  6. Tap Save
  7. Alternatively tap the ellipsis menu (the 3 dots) to the right of your client.

How to apply a todo template

  1. Open a buyer or seller
  2. Tap the Todo tab
  3. Tap the ... ellipsis menu
  4. Select Apply Template
  5. Choose the template

Completing a todo

Tap the circle next to any todo to mark it complete. Completed todos move to the bottom of the list. The red app icon badge shows the total number of incomplete todos for that active client.

Tip: The All Todo screen in the side menu shows every incomplete todo across all buyers and sellers in one list — useful for planning your day.

9. Photos

Each seller listing has a Photos tab with two albums created automatically — Before and After. Use these to document the property's condition before and after any work is completed.

How to upload photos

  1. Open a seller
  2. Tap the Photos tab
  3. Select the Before or After album
  4. Tap the + button
  5. Choose photos from your camera roll or take a new photo
  6. Tap Save

Tip: Upload before photos as soon as a new listing is added — before any vendor work begins. This gives you a clear record of the property's original condition.

10. Reports

The Reports tab on a seller listing is for uploading inspection reports, appraisals, and any other documents relevant to the property. Files are stored securely in the cloud.

How to upload a report

  1. Open a seller
  2. Tap the Reports tab
  3. Tap the + button
  4. Select the file from your device
  5. Tap Upload

11. Reimbursable Expenses

Track any out-of-pocket costs that need to be recovered at closing. Reimbursable expenses are stored against the seller listing they relate to and give you a clear running total.

How to add a reimbursable expense

  1. Open a seller
  2. Tap the ... ellipsis menu
  3. Select Add Reimbursable Expense
  4. Enter the description and amount
  5. Add a receipt photo if needed
  6. Tap Save

All expenses for a listing are displayed with a running total so you always know the exact amount to recover at closing. You should of course check the amounts are correct.

From the side menu under Reimbursable expenses you can see the total for all your listings.

Tip: Add expenses as they occur rather than at closing — it's easy to forget smaller costs if you leave them to the end.

12. Closing Details

Closing details track the key financial metrics for each transaction. Fill these in as the sale progresses and they feed into the Sales comparison view automatically.

How to update closing details

  1. Open a buyer or seller
  2. Tap the Closing tab
  3. Enter the relevant details as they become available
  4. Tap Save

Tip: You don't need to fill in all closing details at once. Update them as the transaction progresses — list price when you take the listing, close price and date when the sale completes.

13. Birthday Reminders

Agent37 can send you a push notification on the morning of any client's birthday. This is one of the simplest ways to stay top of mind with past clients and strengthen relationships over time.

How to set a birthday reminder

  1. Open a buyer or seller
  2. Tap the Info tab
  3. Enter the client's birthday
  4. Toggle Remind me on
  5. Tap Save

The notification fires at 8:00 AM on the morning of the client's birthday with the message: "[Client Name]'s birthday is today. Reach out and wish them well."

Tip: Add birthdays for past clients too — not just current ones. Birthday reminders are one of the best reasons for a former client to think of you when a friend asks for an agent recommendation.

14. Vendors

The Vendors screen is a standalone contact directory for the tradespeople and service providers you work with. It is separate from calendar events — you can call, text, or email any vendor directly without needing to create an event first.

How to add a vendor contact

  1. Open the side menu
  2. Tap Vendors
  3. Tap the + button
  4. Enter the vendor's name, company, phone, and email
  5. Assign them to a vendor group
  6. Tap Save

Contacting a vendor

Tap any vendor in the list to open their contact card. From there you can call, send a text message, or send an email directly from the app.

Tip: Keep your vendor list up to date — it's one of the most valuable parts of the app for new agents joining your team, who can access your trusted vendor network from day one.

15. Sales

The Sales screen gives you a year-on-year view of your closed transactions. It pulls data automatically from the closing details you've entered across all your past sellers and buyers.

What the Sales screen shows

Select any year from the picker to see a breakdown of that year's performance. Tap any transaction in the list to open the full closing details for that client.

Tip: The more closing details you fill in, the more useful the Sales screen becomes. Make it a habit to complete closing details for every transaction as soon as it closes.

16. Team

The Team feature is available on Pro and Max plans. It allows you to invite colleagues to access your account with view or edit permissions. All updates — notes, todos, photos, calendar events — are visible to the whole team in real time.

How to invite a team member

  1. Tap the Team tab
  2. Tap the + button next to Invitees
  3. Enter their email address
  4. Select their permission level — View or Edit
  5. Tap Send

The invited team member receives an email with a link. When they tap the link the app opens and they see an Accept or Decline screen. Once accepted your account appears in their workspace switcher in the side menu.

Switching between accounts

If you have been invited to another agent's account, tap the side menu to see the workspace switcher at the top. Tap any account to switch to it. A purple status bar indicates you are viewing another agent's account. Tap your own account to switch back.

Seat limits

Tip: Both the account owner and the invited team member must hold an active Pro or Max subscription. If either subscription lapses, team access is immediately revoked.

17. Subscription

Agent37 is free to download and includes up to 100 entries and limited storage. Upgrade to Pro or Max to unlock unlimited entries, expanded storage, and the team feature.

How to subscribe

  1. Open the side menu
  2. Tap Subscribe or Upgrade
  3. Select your plan and billing period
  4. Tap Subscribe and confirm with Face ID or your Apple ID password

How to cancel

Subscriptions are managed through your Apple ID. Go to iPhone Settings → Your Name → Subscriptions → Agent37 → Cancel Subscription. Cancellation takes effect at the end of the current billing period.

Restore a purchase

If you have previously subscribed and need to restore your subscription on a new device, tap Restore Purchase on the subscription screen.
